    Cancellations & Refunds

    Clear terms, no surprises

    Last updated: October 2026

We understand that life happens. Plans change, schedules shift, and unexpected situations arise. Our cancellation policy is designed to be fair and transparent — protecting both your investment and the commitments we make to our hotel partners, guides, and fellow travelers. We do not publish a one-size-fits-all percentage schedule. Instead, cancellation charges are calculated on the statutory actual-cost basis described below.

You may cancel your booking at any time by notifying us in writing via email (terms@bougietravelclub.com) or WhatsApp. Cancellation notices are effective from the date we receive them.

A 30% deposit per person is required once the trip is confirmed (minimum group size as stated on the trip page). Request to Reserve holds your spot with no payment — once the departure reaches its minimum confirmed travelers, you will be notified to pay your 30% deposit. The remaining balance is due per the schedule shown on your trip page. All prices are in EUR and include applicable taxes. Once the trip is confirmed, you have a 72-hour payment window to pay your deposit — if payment is not received within 72 hours, your reservation is released to the next traveler.

BTC does not use a standardized fixed-percentage cancellation schedule. The cancellation charge is the trip price minus BTC's saved costs and any income obtained through resale or alternative use of the travel services. Any amount charged must be adequate, reasonable and justifiable based on timing, saved costs and alternative revenue. We will provide the calculation and supporting justification when requested. Known non-refundable supplier costs and supplier-specific cancellation conditions are recorded per trip and applied where genuinely unrecoverable.

Under the EU Package Travel Directive (Directive (EU) 2015/2302) and Spanish law, you may cancel your trip free of charge and receive a full refund in the event of unavoidable and extraordinary circumstances occurring at or near your destination that significantly affect the trip or the transport of passengers to the destination. This includes natural disasters, serious security risks, or significant public health emergencies. We will communicate proactively if such circumstances arise.

The minimum group size for each trip is stated on its trip page. In the rare event that BTC must cancel a trip because the minimum number of participants is not reached, we will notify you no later than: 20 calendar days before departure for trips of more than 6 days; 7 calendar days before departure for trips of 2–6 days; and 48 hours before departure for trips of less than 2 days. BTC may promise an earlier, more traveler-friendly deadline, but never a later one. You will receive a full refund of all amounts paid within the legally applicable period (no later than 14 calendar days), or you may choose to transfer your payment to a future departure.

If BTC must make a significant change to your trip (e.g., change of destination, dates, or a price increase over 8%), we will notify you as soon as possible. You may accept the alternative, or cancel without penalty and receive a full refund.

For package trips, you may transfer your contract to another eligible traveler who meets the trip requirements. Notice must be given through a durable medium at least 7 calendar days before departure. BTC charges only actual and reasonable costs caused by the transfer, without markup, and will provide evidence on request. The transferring traveler and the replacement traveler are jointly responsible for the unpaid balance and justified transfer costs. For single travel services, the relevant supplier conditions and mandatory consumer law apply.

Some trips — particularly international departures or trips during peak seasons — may have supplier-specific cancellation conditions due to non-refundable supplier commitments. These are recorded per trip and will be clearly displayed on the trip page before you book and reiterated in your booking confirmation. Always review the specific cancellation terms for your trip before paying.

Eligible refunds are processed back to the original payment method without undue delay and no later than 14 calendar days, in accordance with Article 160 of the consolidated Spanish consumer law (Real Decreto Legislativo 1/2007). We will confirm by email once your refund has been initiated.

If you are cancelling for a reason that may be covered by personal travel insurance, contact your insurance provider directly to file a claim. BTC will provide any documentation you need, including booking confirmations and cancellation receipts. BTC's insolvency guarantee and business liability insurance are not personal travel insurance — see our Insurance page for details.

If you are on a waitlist and no longer wish to be considered, simply notify us and we will remove you. No payment is required to join a waitlist, so there is nothing to refund.
