Traveler Requirements & Responsibilities
What you need to know before and during your trip
Last updated: August 2026
You are responsible for ensuring that your passport is valid for at least 6 months beyond your return date and that you meet all visa and entry requirements for your destination. BTC provides general guidance but does not guarantee entry. Check official government sources (e.g., travel.state.gov, gov.uk/foreign-travel-advice) for the most current requirements.
Check current health and travel advisories for your destination before booking. BTC monitors advisories and will communicate any significant changes. You are responsible for obtaining any required vaccinations or health documentation.
You must provide accurate personal information at the time of booking — full legal name (matching passport), date of birth, dietary restrictions, allergies, emergency contact, and any accessibility needs. Changes after booking may incur fees. Update your information through your traveler account or by contacting us.
Group departures operate on a schedule. You are responsible for arriving at meeting points on time. BTC is not liable for missed services due to late arrival. If you are delayed, contact your trip host immediately so we can assist where possible.
You are expected to behave respectfully toward fellow travelers, hosts, guides, and local communities. BTC reserves the right to remove a traveler from a trip in cases of disruptive, dangerous, or unlawful behavior, without refund. Supplier-specific rules (hotels, transport, venues) apply throughout the trip.
Follow airline baggage policies for flights and supplier luggage restrictions for ground transport. BTC is not responsible for lost, stolen, or damaged personal items. Where personal travel insurance is in place, it may cover baggage loss and delay — contact your insurance provider to file a claim. See our Insurance page for the distinction between BTC's business protections and personal travel insurance.
Notify BTC of any accessibility needs or special requirements at the time of booking. We will work with you and our suppliers to arrange reasonable accommodations. Some activities may have physical requirements that limit participation; these are noted on each trip page.
You must provide an accurate emergency contact at booking. Keep this information updated. In the event of an emergency during your trip, your host will use this contact. BTC is not responsible for consequences arising from inaccurate or outdated emergency contact information.
This page is provided for general information. For specific questions about your booking, trip terms, or data rights, please contact us directly at terms@bougietravelclub.com.
